1. Information We Collect
We collect information you provide to us directly, such as name, email, phone number, and company details when you create an account or use our services. We also automatically collect usage data, such as pages visited, session duration, and platform interactions. If you choose to connect your Google Calendar account, we also collect the email address of the connected account and, where applicable, calendar event data (title, time, attendees) strictly to enable the meeting-scheduling functionality described in Section 4 below.
2. How We Use Your Information
We use your information to: provide, maintain, and improve our services; process transactions and send notifications; respond to comments and questions; send marketing communications (with your consent); comply with legal obligations.
3. Information Sharing
We do not sell or trade your personal information. We share data only with service providers (sub-processors) strictly necessary to operate the platform, each limited to the purpose below:
Google LLC — optional integration with Google Calendar (Section 4).
Anthropic (Claude) and OpenAI — artificial intelligence engines used for lead qualification and conversation assistance (Section 5).
Apollo.io and Snov.io — B2B contact discovery and enrichment.
ZeroBounce — email deliverability validation.
Stripe Inc. — payment processing and billing.
GoHighLevel (GHL) — CRM synchronization, when configured by the customer.
Supabase Inc. — database and authentication infrastructure.
We may also share data when required by law or to protect our rights.
4. Google Workspace Integration (Google Calendar)
Connecting Google Calendar is optional and is only activated when you personally authorize access from the platform's settings screen. We request, in a single authorization, only the minimum scopes necessary — never unrestricted access to your calendar or your Google Drive: availability checking (busy/free time), creating/editing the events AVPIA itself creates on your behalf, reading your list of available calendars, your account email (to identify the connection), and, only when you choose to attach one or more Google Drive files or folders to an AI Agent's Knowledge Base, access limited to the files/folders you explicitly select via Google's own file picker (never a general scan of your Drive).
Availability data obtained via Google Calendar is used to check open time slots and to book, reschedule, or cancel meetings on your behalf, deterministically, without an AI model involved in that step. An event's title, description, and attendee list are never included in any request sent to an artificial-intelligence provider. When you already have a meeting scheduled and are discussing it with an AI Agent, the Agent may be given only that meeting's already-confirmed date/time, duration, and timezone, so it doesn't suggest a conflicting time — never the event's content. The content of a Google Drive document you attach to a Knowledge Base, by contrast, is used as context for that AI Agent (Section 5) — that is the purpose of the feature, always limited to what you yourself selected. When you disconnect your Google Calendar account, we revoke access with Google and immediately delete the stored access token, the connected account's email, and the selected calendar from our database; the history of meetings already held remains as your own business record, for the period described in Section 9.
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
5. Use of Artificial Intelligence
We use third-party artificial intelligence models (Anthropic Claude and, optionally, OpenAI) to qualify leads, suggest classifications, and assist automated business conversations. These requests may include contact data and the conversation history relevant to the requested task — never the content of your Google Calendar events (titles, descriptions, or attendees), which is never sent to an AI provider.
We do not use, and do not permit our AI providers to use, data received from Google Workspace APIs to create, train, or improve general-purpose artificial intelligence models. This information is used only to perform the functionality you requested, within our own platform.
6. Data Security
We implement technical and organizational security measures to protect your information against unauthorized access, alteration, disclosure, or destruction. We use SSL/TLS encryption for all data transmissions, and access credentials for connected accounts (such as Google Calendar OAuth tokens) are stored encrypted.
7. Your Rights (LGPD/GDPR)
You have the right to: access your personal data; correct inaccurate data; request deletion of your data; withdraw consent at any time; receive your data in a portable format; file a complaint with a supervisory authority; and disconnect, at any time and directly from the platform, any third-party account you have connected (such as Google Calendar), immediately stopping any further access to that data.
8. Cookies
We use cookies and similar technologies to improve your experience, analyze traffic, and personalize content. You can control cookie usage in your browser settings.
9. Data Retention
We retain your data for as long as necessary to provide our services or as required by law. After account closure, your data will be deleted within 90 days, except where legal retention obligations apply. Google Calendar access credentials (tokens) and connected-account data are deleted immediately upon disconnecting that integration — they do not wait for account closure. Records of meetings already scheduled are retained as your own business history; we are formalizing an internal target retention period for these records and do not yet have an automated deletion mechanism in operation — we will update this section with a definitive period once that mechanism is implemented.
